OZ Dome Office Manager

The office manager performs and/or oversees a variety of associated managerial tasks such as, Facility bookings, Event planning, payable & receivable, corresponding with customers and suppliers and HR related duties. The ideal candidate will have high attention to detail, an upbeat attitude, and exposure to managing in a small office environment with experience/knowledge in facilities & rental services, restaurant and HR. Working Hours are 9am to 6pm.

Provide a smooth workflow in the OZ Dome Office by carrying out the following responsibilities:

  • Create and manage facility bookings such as charity events, indoor/outdoor field rentals and basketball/tennis courts etc.
  • First point of contact for employee who require maintenance attention as well as potential field renters.
  • Create and coordinate intercompany catering requests and room booking requests.
  • Ensure administrative coverage for the general manager and the maintenance supervisor such as creating and maintaining business files, procedure binders and coordinating and proof reading memos and documents. Handling correspondence, coordinating agendas, tracking time and attendance, managing workflows, preparing documents, arranging logistics, and processing inquiries.
  • Take minutes for various meetings.
  • Arrange and maintain staff schedules, outlook calendar for business travel, airport pick up and drop offs for employees and guests during trade shows and events.
  • Schedule staffing and provide necessary departments with copies of the schedule as well as arrange backup staff.
  • Organize files and updating master documents.
  • Maintain inventory spreadsheets and inventory reports to the general manager and controller.
  • Receive, screen and direct incoming calls, visitors, mail and e-mails.

Provide Administrative support to the HR Department at OZ Optics by carrying out the following responsibilities when needed:

  • Support the HR department in collecting clocked hours/vacation/sick forms and inputting them into the HRIS.
  • Documenting daily rollcall.
  • Setting up orientation packages for new employees.
  • Creating new hire files and updating current files.
  • Assist in drafting Employee Agreements and Employment Letters.
  • Assist in administering WHMIS & workplace harassment training.

Qualifications and Skills:

  • Experienced with Microsoft Office (Outlook, Word, Excel) POS and Rental Booking Software’s.
  • Strong ability to multi-task, balance and prioritize requests.
  • Reliable, resourceful, organized and friendly.
  • Great communication (oral/written) and interpersonal skills.
  • Experience in coordinating, planning and organizing work activities.
  • Experienced in the use of various office equipment including photocopier, printer, scanner, fax.

Bartender/ Server/ Cook/ Sports Coordinator for Sports Bar

  • Experience in a food & beverage service / hospitality environment
  • Successful completion of Smart Serve training
  • Working knowledge of Point of Sale system (POS)
  • Experience with chit orders an asset
  • Experienced in short menu cooking
  • Pleasant, respectful and professional when communicating with others

Head Groundskeeper Summer/ Maintenance Winter

Under the direction of the General Manager performs a variety of skilled activities requiring experience, competency and physical abilities throughout the year. In summer Head Groundskeeper OZ Dome Athletic facility is responsible for the overall care and maintenance of 2 outdoors soccer fields, basketball court, tennis court, beach volleyball and training center. In winter, general maintenance functions, including routine maintenance, minor repair, snow removal and custodial duties.

DUTIES AND RESPONSIBILITIES

Head Groundskeeper

Performs all the landscaping/grounds services; maintains soccer fields including cutting, weeding, irrigation and pesticide application. Assigns activities and follows up to assure assignment completion; performs general grounds maintenance work, maintains tools and equipment in proper condition; orders supplies; uses tractor or various lawn mowers to cut grass areas; performs minor repair and adjustment of equipment; fertilizes, waters, irrigates, and cares for lawns; oversees that assigned areas are free from pest and plant diseases and; maintains irrigation and sprinkler systems; sets up facilities for special events such as baseball, football, and soccer; marks fields according to specifications; picks up rubbish and papers; designs and constructs landscape projects; repairs sprinkler system; assists in general grounds cleaning.

Maintenance

Performs minor repairs to buildings and equipment, Performs minimum or temporary repairs to windows, doors or other portions of buildings, Repairs leaking faucets, urinals and toilet bowls. Cleans drains and removes obstructions from lines, pumps, and toilet bowls, prepares various surfaces for painting. Applies paint to interiors and exteriors of buildings as needed. Repairs dry-wall, floor tile, ceiling tile, door closers, and doors, Sweeps, scrubs, waxes and polishes concrete, linoleum, tile and floors. Cleans and vacuums rugs, Scrubs and disinfects restrooms and drinking fountains, Empties and cleans waste containers, Assists staff in lifting and storing supplies, Operates a variety of hand and power tools and equipment including saws, drills, grinders, routers, paint sprayers, lawn mowers and edger’s. Works from verbal and written instructions and work orders. Communicates with staff and various outside agencies to exchange information and resolve issues or concerns.

EXPERIENCE AND REQUIREMENTS

  • Graduated with a degree/diploma from a recognized Turf Management post-secondary institute or organization such as the Canadian Turf Grass Association
  • Valid Ontario pesticide applicator’s license
  • Golf Course or Sports Field experience (5-10 years)
  • Strong Knowledge of Agronomics and Turf Management
  • Experience and knowledge of irrigation systems
  • Experience maintaining and repairing of equipment and machinery
  • Highly organized with proven decision making skills and proven ability to obtain results
  • Good ability to share professional advice, direction, assistance and services to the facilities management as required
  • Strong communication and interpersonal skills, including building effective professional relationships with industry partners, suppliers and local contacts
  • Communicates comfortably and professionally within a corporate environment

Lead Maintenance Assistant Supervisor

Under the direction of the General Manager, and or Maintenance Supervisor, performs a variety of skilled activities requiring experience in the maintenance, inspection and repair of building systems, mechanical equipment, trucks/tractors and floor care, with General knowledge of technical fields, ie., carpentry, painting, electrical, plumbing etc. Be able to work shifts as maintenance, custodian and security officer and on call.

Work schedule 44 hours week Split Shift
Fixed Shift: Saturday and Sunday 6am to 6pm
Flex shift option1: 3 days for 20 hours (Monday to Wednesday) or (Wednesday to Friday)
Flex shift option2: 2 day for 10 hours (Monday to Tuesday) or (Thursday to Friday)
This shift will be responsible for on call replacement of other shifts

  • Performs minor building maintenance tasks including Lighting, drywall patching and repair, painting, furniture assembly and repair, simple plumbing repairs, and other similar tasks
  • Ensures building is kept in a clean and orderly condition
  • Operate general equipment for snow removal and grounds keeping
  • Understanding of HVAC systems
  • Responds to emergencies
  • Maintain log books for stock/inventory control, data collection and maintenance issues
  • Be able to work shifts as maintenance custodian and security officer
  • Serve as on call maintenance and custodial back up

Sports Co-ordinator

The candidate will be responsible for bartending, light food preparation in a sports facility and assisting with parties, special events. Must be available nights and weekends.


Sales & Marketing Manager

Person will be responsible for Sales & Marketing and coordination of all activities of OZ Merchandising + OZ Dome Sports Facility.

Experience: Minimum 5 years.


Facility Manager

The Facility Manager is charged with the daily operation of and will be responsible for managing the sports facility.

Experience: Minimum 5 years of facility and/or restaurant management.


OZ Dome & Merchandising Manager

The office manager performs and/or oversees a variety of associated managerial tasks such as corresponding with customers and suppliers, accounts payable, accounts receivable and payroll. The ideal candidate will have an upbeat attitude, exposure to managing in a small office environment and experienced in facilities & rental services environment.

Experience: Minimum 5 years of facility and/or restaurant management. Preference will be given to applicants with accounting experience.

Custodian

Typical Duties:

  • Dusting, sweeping, mopping, scrubbing floors
  • Carpet cleaning

Skills:

  • Good communication skills
  • Knowledge of chemicals and equipment related to profession


Required Qualifications:

  • 'G' class drivers license along with a clean driving record
  • Minimum 3 years of building/company cleaning experience
  • Sound knowledge of all cleaning duties and responsibilities
  • Good interpersonal communication and organizational skills
